Viewing Requirements (Contract Terms & Conditions and Statement of Work)

NOTE: you will need SOR view privileges (See “Assign Users and Set Privileges” support topic)

Requirements are also know as the Performance Work Statement (PWS), Statement of Requirements (SOR), the Statement of Work (SOW), etc.
From the main pull-down menu (Requirements) select "Requirements" and then the "Requirements" pull-down.

Requirements

The requirements management feature can be used at the start of a project to create a new contract or it can be used throughout the life cycle of the contract to manage change orders revisions to the original contract (including Terms and Conditions and the specification). This function is ideal when using a template contract and making changes to create the new contract.
The numbering system is used to match the contract structure. Terms and Conditions or other information items can be created. Attachments (i.e., drawings, tables, reference documents, etc.) can be attached or retrieved using the paperclip icon in the middle-right part of the screen. The date of the last revision of a line item is shown on the right side of the Line Items list.

All functional areas of the contract are shown in the Sections list.

Identifying LI's for modification - "Marked for Modification"

NOTE: you will need "Approve SOR Modification" privileges. The following steps are used when modifying an existing contract or template.

  1. Select the Section you would like to work in, and click the "Mark LIs for modification" button. When creating new contracts the review process is initiated automatically.
    "Mark for Modification" is 4th button from left above Sections list


  2. Scroll through the list of Section LI's, checking those you wish to mark for modification. Select LI from Line Items list, and click "Edit" button NOTE: you will need "Edit Requirements" privileges. Type changes to applicable LI field(s) and Click "Save" when finished.
    Items previously marked for Modification will not appear on the LI list


  3. When finished, a flag and text in the "Line Items" list will identify those LI's that have been marked for modification.

Editing LI's - "Ready for Review"

NOTE: you will need"Edit Requirements" privileges

  1. Select LI from Line Items list, and click "Edit" button Edit 00 - LI Edit Button.jpg

  2. Type changes to applicable LI field(s) and Click "Save" Edit 1 LI with edits highlighted.jpg

  3. Complete "Transaction Logging" Window
    1. Describe the "Reason" to document the change and necessary background for reviewers.
    2. Choose as many "Change Types" as are applicable (the list can be modified as necessary). This function is used to track changes resulting from certain known considerations.
    3. Click "Mark this Change for Review" to initiate the review process (not clicking will complete the Edit with the special case status "Being Modified" instead of "Ready for Review")
    4. Click "OK"

  4. Line Item is now "Ready for Review" unless "Mark this Change for Review" was not clicked, in which case the status is "Being Modified". Edit 3 Ready for Review.jpg



Edited LI's that are being reviewed - "Under Review"

NOTE: you will need SOR review privileges

  1. Select LI from Line Items list whose status is "Ready for Review" or "Under Review".
  2. In the bottom panel, "Review Log" select either, "I concur with the change" or "I do not concur with the change".
  3. Complete the "Review Comments:" Complete the field with the reason for your decision.
  4. Click "Save"

Using the "Search" Feature to Perform Review and Track Progress

NOTE: you will need SOR review privileges


  1. From the Requirements screen, click the "Search" button.

  2. Select the Search Criteria you are looking for.

  3. You can highlight the found LI(s) as a result of the search, and proceed with your review. Search 3 Search Results.jpg


    A sample tracking report is provided below. Refer to the Reports Module description below for additional tracking and documenting reports. See item 3.1 SOR Reports for all reports associated with this function.
